KPI Best Practices and FAQ
Did my reports get submitted?
On the Sponsor Metrics tab of KPI, navigate to the Data Integrity tab under “Jump to View”. Here you will see a chart of
colored squares that indicate what files have been received.
Green = all files have been received
Yellow = missing budget, but actuals (income statement) has been received
Red = missing all files
Files submitted by 4 pm EST are processed overnight each night. If you submitted a file in the same day, please wait until the next day to check the data integrity tab.

How do I add a new property?
Send an email to support@imscre.com with the following information:
- Property Attributes -
- Property Name
- Accounting System
- Unit Type and Unit Total (This should match the Rent Roll)
- NOTE All properties must be a CRE deal that exists within the IMS platform. Funds are not currently supported within KPI. If your CRE deal has multiple assets, financials must be sent in a single file.
- Chart of Accounts - Typically from the Accountant
- A Chart of Accounts includes every account code and line item
- Not necessary if the new property is managed by the same company as one of your others (and therefore shares an accounting system).
Then, send the following files directly to your reporting inbox (yourcompanyname.reporting@imscre.com):
- Trailing 12 Month Income Statements- Typically from the Accountant
- 12 Month Budgets – Typically from the Accountant
- Rent Rolls – Typically from the Property Manager
How should the files be formatted and named?
As files are digested by an automated system, if the file is not formatted or named properly the system may reject it. Try these troubleshooting items and resend the file, and if trouble persists, please submit a support ticket for our team to investigate it for you.
- Files need to be in EXCEL (.xlsx). If .xlsx is not feasible then .csv and .html may be acceptable
- Files should be sent as exported from accounting system
- Each file must represent ONE IMS property/asset and ONLY the first sheet will be processed
- Please make sure files are NOT password protected
- Account codes are required for each line Line items without an account code cannot be processed.
- Files with the following will not be processed:
- Files for properties/assets not in KPI (follow instructions for adding a new property)
- Missing Property Name in file (must be in a cell in the sheet)
- Missing date in file (must be in a cell in the sheet)
- Missing reporting inbox
The filename for each file must contain one of the accepted tags in the table:

Why aren’t my account codes mapping correctly? How do I change the mapping?
Our automated system attempts to match account codes on your chart of accounts to our KPI descriptions. To change the mapping, follow these steps:
- Export your current Chart of Accounts as well as a copy of the IMS Descriptions. If you are unsure of how to do that, click here. Open your exported Excel file and update the name in the IMS Descriptions column to another value.
- Send your updated Chart of Accounts Excel file to support@imscre.com and the mapping will be updated. The changes should reflect within 2 business days.
- We highly recommend reviewing your Chart of Account Mapping before getting started as well on a semi- regularly basis to ensure that everything is up to date.
- If you and your team are not currently satisfied with the mapping or the breakdown of the account categories, we recommend reviewing the IMS Descriptions to review available options. There is likely a better fit for what you are trying to display in your reports.
